About the Document Checklist

This business loan document checklist generator lists the documents you should keep ready before applying for a loan or a government scheme. Select your entity type, funding purpose and registration status, and the checklist updates instantly, separating required documents from optional ones. You can print it or save it as a PDF from your browser.

It is meant for proprietors, partnership firms, LLPs, private limited companies and businesses not yet registered, along with the accountants and consultants who assemble their files. Incomplete paperwork is one of the most avoidable causes of delay, and a single list to tick off makes the first meeting with a banker far more productive.

The list changes with your answers. PAN, the latest ITR, a six-month bank statement and last year's balance sheet and profit and loss account always appear. An incorporation or registration certificate is added for partnerships, LLPs and companies; GST, Udyam and DPIIT certificates are added if you hold them; and a quotation or cost estimate is added when the funds are for machinery or a new unit.

How to use it

  1. 1Choose your entity type and the purpose of the funding.
  2. 2Set your GST and Udyam registration status, and say whether you are a DPIIT-recognised startup.
  3. 3Review the list; items marked optional strengthen the file but are not essential.
  4. 4Click “Print / Save PDF” to keep a copy, and tick documents off as you collect them.

Frequently asked questions

Which documents are required for a business loan in India?

The baseline list in this tool is the PAN card of the business or proprietor, the latest income-tax return, a bank statement for the last six months and the balance sheet and profit and loss account for the last financial year. Registration certificates and quotations are added depending on your entity and purpose.

How does the business loan document checklist change with entity type?

For a partnership firm, LLP or private limited company, the checklist adds the incorporation or registration certificate, since the lender must verify that the entity legally exists. For a proprietorship or a business that is not yet registered, that item is left out, and identity rests mainly on the proprietor's PAN and other registrations.

When do I need a quotation or project cost estimate?

If the funding is for machinery or equipment, or for setting up a new unit, the tool marks a machinery quotation or project cost estimate as required. For business expansion it appears as optional. For working capital, marketing or research it is not listed, though a lender may still ask how the money will be used.

I do not have GST or Udyam registration. Can I still use the checklist?

Yes. Select “Not registered” and those certificates are removed from the list. Bear in mind that many MSME schemes and credit guarantee routes expect Udyam registration, and lenders often prefer GST-registered borrowers, so registering before you apply can widen your options. Udyam registration carries no government fee.

Is this checklist enough for every bank or scheme?

No. It is a baseline. Depending on the lender and scheme, you may also be asked for KYC of partners or directors, address proof of the business premises, a project report, licences, collateral papers or older returns. Always ask the branch or implementing agency for its own list and add those items.

Can I save or print the checklist?

Yes. The “Print / Save PDF” button opens your browser's print dialog, where you can print on paper or choose Save as PDF. If you create a free Vyapaar Vaani account, the document vault tracks the same checklist for your business and lets you upload each document once for reuse across applications.
